This Junior level, hourly-compensated role will fulfill a variety of administrative tasks, including that of dedicated assistant to the Department Head. The role requires an incredibly organized individual who has the ability to multi-task and prioritize, deal with high-stress environments and also be proficient in Microsoft Word & Power Point. The position will be responsible for taking precise instructions and will regularly be called upon to act accordingly in their dissemination and follow-up. Hours outside traditional corporate business hours will be required.

Essential Duties and Responsibilities:
• Handle the timely and complex scheduling of meetings and appointments, making travel arrangements (air, hotel, ground, etc.) while preventing conflicts. This responsibility will be both time-sensitive and account for a significant portion of daily responsibilities.
• Professionally and respectfully interact with all levels of business partners (internal and external) on behalf of the Department Head to fulfill assigned tasks and to ensure required deliverables are met.
• Ensure urgent communications both to and from the Department Head are handled effectively, timely and with tact. Prioritize and respond accordingly to questions and requests for information, ensuring confidentiality is maintained as appropriate.
• Support the Department Head in the creation of Word- and email-based communications as well as Power Point presentations
• Assist with various projects that come up on a day-to-day basis
• Assist with reconciling departmental expenses/reports as needed

Education and Work Experience:
• High school diploma required; however, advanced education is preferred
• 3 - 4 years experience in a similar role in a corporate setting is required
• Demonstrable proficiency in Microsoft Office applications with a focus in Power Point & Word is required
• Extensive experience with scheduling meetings and appointments, arranging travel schedules, making reservations, etc. Exceptional attention to detail is critical.
• Able to work effectively with all levels of internal and external partner, maintaining confidentiality as appropriate.
• Effective communication skills (both verbal and written) as well as listening skills are required. Professional phone & email etiquette are expected. Professional discernment is a requirement as well.
• Thorough understanding of the operation of general office equipment and administrative best practices.
• The ability to effectively work outside normal business hours, including early mornings, evenings and weekends is required.

Attendance Requirements:
Due to the nature of Health Insurance Innovations needs, regular and reliable attendance is required. Individuals must be able to work at least a 40 hour work week, Monday through Friday, and be available as situations arise requiring extended hours.
